Part-Time In-Office Administrative Coordinator – 6-Month Contract (Possibility of Extension), Toronto (2.5 Days/Week)
Position: Administrative Coordinator (in office position)
Location: 100 King St W, Toronto
Type: Part-Time (20 hours per week, 2.5 days in office). Flexibility in determining the days worked. May be required to work up to 28 hours per week during busy periods.
Contract: (June 2025 – December 2025) with the possibility of extension based on performance. Start date June 20, 2025.
Reports to: Administrative and Fundraising Officer
Salary: $19.00 per hour

Position Overview:

As a Part-Time Administrative Coordinator, you will help ensure the smooth operation of the organization’s administrative, donor, and fundraising tasks. Duties and Responsibilities:
Donor and Financial Processing
- Process donations by entering information into the E-Tapestry database and accounting software (QuickBooks), generating tax receipts, and preparing donor packages.
- Manage data entry and filing of accounting paperwork/invoices, including tracking payments and issuing invoices.
- Assist with the preparation and submission of financial reports, legal documents, and other required records.
Customer and Community Support
- Provide exceptional customer service through email, phone, and virtual channels, assisting patients, families, and healthcare professionals.
- Provide support to support group leaders to ensure successful support meetings, educational sessions, and other events, following established protocols.
Administrative and Office Support
- Perform general administrative support such as mailing, inventory management, and vendor coordination.
- Support meeting and webinar registrations using the DMRF Canada database and E-Tapestry email platform.
- Complete other administrative tasks as needed to support DMRF Canada's operations.
Fundraising and Communications
- Assist with fundraising initiatives, including letter writing, online campaigns, and event support.
- Contribute to website content updates, marketing initiatives, and other communication activities.
Database Management and Reporting
- Perform regular database maintenance, collaborating with other staff to ensure data integrity and adherence to procedures.
- Generate and analyze database queries and reports as needed.
Qualifications and Experience:
Post-secondary diploma in administration with at least 1 year of office administration experience, or equivalent work experience (minimum of 3 years preferred).
Intermediate skills in Microsoft Teams, Outlook, Excel, Word, PowerPoint, and online platforms like Zoom, Canva, Mailchimp, ChatGPT, and SurveyMonkey.
Experience with CRM systems (E-Tapestry/Blackbaud) and QuickBooks.
Familiarity with event planning and nonprofit compliance, particularly CRA charitable regulations.
Strong organizational and time-management skills, with the ability to juggle multiple priorities.
Resourceful and able to solve problems independently and in a team setting.
Excellent interpersonal, customer service, and communication skills.
Strong judgment, discretion, tact, and patience in handling sensitive situations.
Experience in community support, social services, or a related field is an asset.
Ability to work flexible hours, including occasional evenings and weekends.
Ability to lift and transport packages (up to 15 lbs) and walk distances as needed.
